HUNTING HILLS HOMEOWNERS ASSOCIATION BOARD MEETING Tuesday, February 2, 2010

The meeting was called to order by President Bagliani.
The Minutes of Meeting for January 19, 2010, were accepted as submitted.
Treasurer's Report – Treasurer Vaughn
TreasurerVaughn submitted Treasurer's Report for the months of December, 2009, and, January, 2010.
Report discussion:
• In recent years, expenses exceeded income by approximately $10,000 per year.
• Expenses of maintenance, landscaping, and watering were discussed at length. Lawn Barber
Contract expires in March, 2010. Consideration for competitive bidding on the 2010 contract was
discussed.
• Watering of plants has been a significant maintenance expense. It was proposed that
consideration for conservation of water be given when selecting the plants to be used in landscaping.
2008 Amended Tax Return
Filing of amended 2008 Tax Return pending receipt of (2) bank statements.
Note: (3) copies of The Articles of Incorporation in hand. (1) copy, each, for President Bagliani,
Treasurer Vaughn, and Linda Habermann.
Maintenance:
President Bagliani reported that past Old Heritage/Rockydale Quarries support of HH maintenance can
no longer be assured. To be determined is the future maintenance that can/cannot be supported by the
HHHOA considering budget constraints. Membership level to have major influence on the level of
maintenance provided.
President Bagliani requested that each committee submit their respective budget requirements to
President Bagliani and Treasurer Vaughn for consolidation into a 2010 Budget.
Membership – Debbie Melnik
• President Bagliani reported that Homeowners Association Membership is currently approximately
47% of homeowners.
• Critical that membership be increased (75%?) to support the 2010 budget.
• New Homeowners Directory to be done for 2010, copies to members only. The cost of the Directory
should be much less than previous since database is now in place.
• Angie Beckner reported that the current high level of maintenance being supported by HHHOA
began approximately 6 years ago when membership levels were much higher than today.
Membership Letter:
President Bagliani and D. Melnik to draft a letter to be submitted to non-members requesting payment of
dues. The letter is to highlight the various roles and services of the HHHOA, including:
• Landscaping and Maintenance activities (assumed in recent years)
• Homeowners advocate in working with VDOT on recent snowplow support
• Neighborhood security
• E-Blast, e-mails reporting neighborhood incidents
• Homeowners Directory
C. Vaughn and A. Beckner discussed the need to move the membership drive and Annual HHHOA
Meeting to after the first of the year. It is believed that homeowners would be more responsive after
the first of the year. It was recommended that membership letters be mailed in January, with the HHHO
Annual Meeting being held in February, 2011.

Neighborhood Watch – Richard Wyeth
A Neighborhood Watch Report is to be generated covering the many considerations needed for
implementation of Neighborhood Watch. The report to include:
• Support Organizations that might be used for information and materials,
• Utilization of clothing and car markings to highlight presence,
• Telephone trees for timely notifications of residents and authorities – complement E-Blast.
• Interfacing with the police and services
• Maximizing homeowner participation

Government Liaison Committee – Joe Lemmer and Angie Beckner
South Peak: The HOA sponsored meeting on South Peak was well attended and supported. It was
reported that future development of South Peak is contingent upon the local government creating a
CDA. No hearing on the CDA has been scheduled. [Reference Roanoke.com/South Peak].
