HUNTING HILLS HOMEOWNERS ASSOCIATION  
BOARD MEETING

The meeting was called to order by President Brian Carroll at 7:03 pm.

Present:
All in attendance introduced themselves and reported on where they resided in Hunting Hills and for
how long.

The comment was made that the annual meeting was well attended and the food was delicious and the
meeting went very well.  However, there was a problem in that several association members did not
receive an invitation.  Anna Hudson said that the membership list and mailing list needs to be updated.

President Carroll said that he will communicate by E-mail as much as possible.

President Carroll gave a “State of the Association” report.  A copy is attached.

 President Carroll thinks that there is a perception in the community that our association does not do
anything. We need to change this perception.

Concerns which need to be addressed this year include preparing a budget, establishing a calendar for
the year and a time-line, fill vacant spots on committees, increase membership, establish  a community  
trail system, increase advertising in directory, complete landscaping,  have a summer social event, and
establish an additional district.

Old Business:
Community Trails-President Carroll reported that Old Heritage liked the concept but were concerned
with maintenance, liability issues, interference with the golf course, use of motorized vehicles, and no
major impact occurring the property.
       President Carroll has talked with the Hunting Hills Country Club and the greens committee but not
with the Board of the country club.  The country club is not interested in the concept and only wants
country club members to use the trails and thought we could never obtain liability coverage.
       President Carroll attends to approach the subject again when there is a new greens committee.
       Debbie Melnik reported that the greens committee was concerned that golfers would hit people on
the trails.  President Carroll thought there was no greater interference than cars crossing paths with
golfers on Hunting Hills Drive.
       A survey needs to be conducted to see if the neighborhood wants community trails.

       Plantings—Plans have made to complete the plantings on the triangle at the intersection of Hunting
Hills Drive and Fox Ridge Road. President Carroll’s wife will make the landscape plan and Irene Brock
will water the area.  All plants will be low for visibility.  The rocks currently there will be incorporated into
the plan.  Debbie Melnik moved that $1500.00 be spent one the triangle planting.  The motion was
approved.
       Post Office Box-President Carroll reported that we need update the records at the Post Office to
reflect the current officers.  He will check with the post office and Colleen Stone with check with our last
treasurer.

       Contract commitments of our Association-President Carroll needs to have copies of all contracts
with our association such as Lawn Barber, and the country club so these  can be in the budget.  Whitney
Snyder reported that there is no contract for watering as she just calls when needed.  President Carroll
does not want to obligate our association to any long term contracts.  
       
       President Carroll reported that he is looking into liability coverage for the Officers of our
Association.  Quotes for liability for the trails ranged from $1000.00 to $3500.00 per year.

       Letters to the Board—President Carroll reported that several letters have been received
addressed to the Board which he has answered.  One was from Kathy McAteer which advised that she
paid her dues last year but her check was never cashed and she was not invited to Homeowner’s
Annual Meeting.
       A letter was received from Becky Fariss concerning speeding on Hunting Hills Drive. The
possibilities and means of traffic controls were discussed.  

Secretary’s Report:
The Secretary gave her report.  There are no minutes from the October Board Meeting as the Secretary
was not in attendance.  The minutes from the 2008 Annual Meeting were approved as read.  

President’s Report:
Those members present were asked to verify their email address and spelling of their name for the
association Web site.  Comments regarding the General Membership meeting in November were
positive.  A thank you was given to Gary Powers for his service as President in 2007

Treasurer’s Report:
The Treasurer’s Report was presented .  Our available cash on January 30, 2009 was presented.  Our
Dryfuss account has been closed and a money market account and checking account opened at
SunTrust. The Budget for this year had not yet been prepared.  Balance Sheets will be sent to Board
Members monthly

Anna Hudson and President Carroll reported that monthly financial reports will be sent to Board
Members.



Committee Reports

Beautification:
Irene Brock reported that we will keep doing as much beautification as we can afford.  

Club Liaison:  
Hunting Hills Country Club has a current offer to join the Club now and get 15 months for 12 months
dues.  For example:  If you join in February, you do not begin paying monthly dues until the month of
May.  What a deal!  A new category, Young Professional, has also been added.  Any single or family 32
years of age & below may join before March 15 for ½ of the regular monthly membership fee.   The 15
month contract with first three months dues fee also applies.

The HHCC Board is open to continue looking into the possibility of a neighbor-hood dining membership.  
It would be helpful if each representative of the HHHA would float this idea among the homeowners who
are not members to gauge the level of interest.  Feel free to e-mail Debbie Melnik @ melnikfam@cox.net
with information as to number of neighbors interested or names or those interested and any ideas or
input that you receive.

As always, HHCC is very interested in knowing when a new neighbor moves to Hunting Hills.  This
information can also be forwarded to Debbie.  Homeowners, both new and longtime neighbors, are
strongly encouraged and welcome to come in and try out the club.  Our marketing coordinator will be
happy to make a complimentary dinner reservation, golf tee time, reserve a tennis court, arrange a pass
to the pool, reserve a meeting room, or to give a tour of the whole facility.

We are really about promoting this club to all of Roanoke but especially to neighbors in Hunting Hills.  A
strong Hunting Hills Country Club can not only boost our home values but also provide many activities
to share with family, friends and business colleagues.

Government Liaison:
Joe Lemmer reported that he has spoken with Charlotte Moore (our supervisor on Roanoke County
Board).  VDOT plans to do some paving in Hunting Hills. There still concerns over the new Wal-Mart,
plans for the new library have revised, and the bridge on the Blue Ridge Parkway over Rt. 220 needs
painting.

Membership Report:
Whitney Snyder no report.  She hopes to complete the Directory by the summer social event.

Security & Safety Report:
No report

Streets and Lights:
Sandi Cole reported that President Carroll will write a letter to VDOT requesting a guard rail be installed
on Hunting Hills Drive at Rt 220.

New Business:
President Carroll reviewed the results of the Executive Board Planning Board Session which are
attached.

       A summer social event was discussed to be held at the country club.  Debbie Melnik volunteered to
discuss this with the manager of the club.

       President Carroll reported that we plan to purchase signs to advertise our meetings.

       Proposed future meeting dates were approved.
