BOARD MEETING
Wednesday, April 16, 2008
The meeting was called to order by President Whitney Snyder at 7:16 PM

Present:
Whitney Snyder, Linda Habermann,  Sandi Cole, Colleen Stone, Irene K. Brock, Marcia M. Albert, Debbie
Melnik,  Debra  Balzer-Plagemann, Linda Wilkes, Joe Lemmer,  Anna Hudson, Gary Powers, Brian Carroll,
Rana Sass, Deanna Cochran, Ed Price

Unable to attend:
Joan Petrus, Michael Roberts, Laura Williams

Secretary’s Report:
The minutes of the January 16, 2008, were approved as read.

President’s Report:
Those members present were asked to verify their email address and spelling of their name for the
association Web site.  Comments regarding the General Membership meeting in November were
positive.  A thank you was given to Gary Powers for his service as President in 2007

Treasurer’s Report:
Ed Price advised that interest rates are low now and will continue to be for some time.  The charges on
our water bill may be an estimate based on prior consumption.  An additional deposit will be made for
$1160.00 in advertising for the directory plus $250.00 in additional dues.  A homeowner’s returned check
was subtracted from the report.  The Treasurer’s Report was approved as read.

Committee Reports

Beautification:
Irene Brock reported that we need to sign a contract for maintenance and proposals for additional
plantings at the entrances to our development.  Estimates have been obtained for clean-up, mulching,
fertilizer, and monthly maintenance from Lawn Barber for $865.00, Chandra $955.00, and Looney for
$979.00.

Ed Price advised that he has refused to pay any late fees to the current contractor because the bill
arrives late because improper zip code on the address.  Ed has advised the contractor several times
about this error.

President Whitney Snyder would like to see the plantings improved at the entrances and common area
triangle.  Discussion ensued concerning the cost of watering the entrances ($150.00 per water), animals
eating the plantings, types of plants, coordination with the refurbishing of the Hunting Hills signs, Lawn
Barbers work, and hiring of a landscape architect or designer.  Rana Sass suggested natural material
such as large boulders be used instead of or along with live plants which need maintenance.

President Whitney Snyder moved that the Beautification Committee be given a budget of $6000.00 to be
used for the entrances and the triangle of Fox Ridge Road and Hunting Hills Drive for beautification of
these areas and continue to use Lawn Barber for Maintenance.  The motion was seconded by Sandi Cole
and approved by the Board.

Club Liaison:  
Debbie Melnick reported that the club invites potential new members to try out the club for free. Tree
removal on the golf course has proven to be a great help to the course.  Only 20% of the residents of
Hunting Hills belong to the Club.  It is very important for resident to support the club as the club helps
maintain property values.  We will put an ad in our directory promoting the Club.

Government Liaison:
Joe Lemmer reported on the Sunscape Project of AEP which will bring high tension wires along Route
220 skirting Hunting Hills near Lowes.  The purpose is to improve service and prevent power failures.  
The lines are not on Hunting Hills land and Joe Lemmer questions why the lines cannot be buried.  He
will discuss with Charlotte Moore, County Representative.

President Whitney Snyder moved that the Board send a letter stating the Board’s feelings on the project
before May 9th. The motion was seconded and carried.

Membership Report:
Anna Hudson reported that advertising for the directory has been an easy sell.  We are giving Hunting
Hills Country Club a free ad.  She and Rana Sass will assemble a welcome kit to give to new neighbors.

Gary Powers reported that there have been 1,026 hits to our website.

Security & Safety Report:
No report.  We have a link on our website to the county police website.

Streets and Lights:
Sandi Cole had no report.  A discussion of pot holes took place and Irene Brock advised that VDOT
should be contacted directly about potholes.

Linda Habermann requested that VDOT be contacted concerning the hazardous condition which exists
at the intersection of Hunting Hills Drive and RT. 220 where the trees were removed and there is now a
drop-off down the hill.  Sandi Cole will check into the matter.

Rana Sass asked what to do concerning construction debris which has been left on a vacant lot by
builder George Barron on Hunt Camp Drive. Joe Lemmer advised that it should be reported to the
county by the concerned homeowners.

Old Business:
Gary Powers reported that he will schedule a new meeting with Old Heritage’s attorney Tucker Lemon
concerning the old sign and Delta Dental.  Joe Lemmer will attend also.  Bo Willis of Old Heritage has
possession of the old sign.

A motion was made, seconded and approved that the old signs be renovated and painted the colors of
Forest Green and Metallic Gold.  Gary Powers will obtain quotes.

The keys to the lock on the water outlet at the intersection of Fox Ridge Road and Hunting Hills Drive
will remain with Irene Brock.

New Business:
Debbie Balzer-Plagemann asked how we can stop ads being left in our newspaper boxes.  It was advised
that anyone wishing such advertising to stop contact the advertiser directly.
